The useful starting point
A long account of earlier meetings can bury a simple request. If a colleague needs to review one paragraph, say so early and identify the paragraph. Separate that request from information that is included only for context.
A small step to try
Draft an opening that names the action, responsible reader and relevant timing. Follow it with the reason and supporting detail. Do not turn a tentative suggestion into a commitment merely to make the sentence shorter. Review the draft by asking whether someone could correctly identify the task from its opening, while still finding the qualifications needed to act responsibly.
